Privacy Policy

What we collect

• Account details: your business name, website, contact name, email and phone, provided when you sign up.
• Google Business Profile data: when you connect Google, we receive the listings you manage and their public reviews (reviewer display name, rating, text, date) and the replies posted on them. We use Google's official Business Profile APIs with the business.manage permission you grant. We never see or store your Google password.
• Payment details: your card is sent directly to our payment processor (Converge, operated by Elavon) and tokenized there. ReviewGate stores only the card type and last four digits.
• Usage and support: actions taken on your dashboard (for example approving a reply or a removal case), support messages, and standard server logs.

How we use it

• To monitor your reviews, alert you, draft replies for your approval, and post the replies you approve to your Google listing.
• To screen reviews against Google's content policies and, with your approval, prepare and file removal requests and appeals through Google's official channels.
• To bill you and send receipts, service notices and support replies.
• We do not sell personal information, and we do not use your review data to train AI models or for any purpose other than providing the service to you.

Google user data

ReviewGate's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google data is used only to provide and improve the features you see in your dashboard, is never sold or shared for advertising, and is transferred to others only as needed to provide the service, for security, or to comply with law. You can disconnect Google at any time from your dashboard or by emailing us; we then delete the stored access tokens.

Who we share it with

• Service providers: our hosting provider, our payment processor, our email and messaging providers, and, if you engage the legal escalation package, our partner law firm, which receives the case file for that review only.
• Google: replies you approve and removal requests you authorize are submitted to Google in your business's name.
• Legal requirements: when required by law or to protect our rights and users.

Retention and deletion

We keep your account data while your subscription is active and for up to 12 months after it ends for billing and dispute records, then delete it. You can ask us to delete your account and its review data sooner at any time by emailing support@reviewgate.ca; we complete deletion within 30 days, except records we must keep by law.

Security

Data is encrypted in transit, access tokens and secrets are encrypted at rest, and access is limited to staff who need it to provide the service. No method is perfect; if we learn of a breach affecting your data we will notify you.

Your rights

Under Canadian privacy law (PIPEDA and BC's PIPA) you may ask what personal information we hold about you, request corrections, withdraw consent, or complain. Contact support@reviewgate.ca. You may also contact the Office of the Privacy Commissioner of Canada.

We will post updates here and, for material changes, email account holders.
